Unified Inbox: all your guest messages in one place
A booking comes in through Booking.com. A message arrives via Airbnb. An inquiry lands on Expedia. Each guest communicates through the channel they booked on, and you end up with three separate inboxes to check. Three logins, three extranets, three places where a message can sit unread without you knowing.
And at some point, you miss something because you forgot to click on that third tab.
Unified Inbox solves exactly that: all messages arrive in one place, and you respond without switching between screens.
Why scattered messages cost more than you think?
The problem is not just the time lost switching between screens. OTA platforms track how quickly you respond to guests and that directly affects your ranking in search results. A slower response means lower visibility on Booking.com or Airbnb, and lower visibility means fewer bookings.
When messages are spread across three extranets, delays happen naturally. A message arrives while you have just checked one channel, and you will not get to the next one for another hour. Unified Inbox eliminates that scenario because all messages appear in one place, synchronized in real time.
What is Unified Inbox and how does it work?
Unified Inbox is a centralized messaging system that aggregates guest communication from multiple OTA channels in a single interface. Messages from Booking.com, Expedia, and Airbnb sync automatically and appear as soon as they arrive.
The list of supported channels grows over time. Every new channel added integrates into the same view automatically, without any additional setup on your end.
Alongside every message, the sidebar shows you guest context immediately: whether this guest has stayed with you before, their previous reservations, their preferences. All of it available while you are reading the inquiry, without opening a second screen or searching for the guest in the system.
AI translation that works in both directions
One of the most practical advantages of Unified Inbox is two-way AI translation that works without any manual steps on your end.
A guest sends a message in German. AI translates it into your language automatically. You write your reply in English. AI translates it into German and the guest receives the message in their own language.
You can preview the translation before sending and configure which languages you want translated. If you are confident in a particular language, turn off translation for it and keep it active only where you need it. The result is natural communication in your own language, without manually translating between two screens.
Templates that speed up every reply
Guests ask the same questions over and over. Where is the parking? How do we get to the property? What is the WiFi password? What time is check-in?
Saved templates let you write those answers once and insert them into any conversation with a single click. Adjust the details where needed, the rest is already there. You can create templates in settings or directly from any conversation, by clicking the three-dot menu next to any message.
The benefit goes beyond speed. Everyone on the team uses the same information and the same tone, which means consistent communication with guests regardless of who is on shift.
Organization that works without effort
A high-volume inbox stays organized through a label system you define yourself. Create categories that match how your property operates: "Urgent", "Special requests", "Complaints", "Upgrades". Add or remove labels in seconds.
Standard inbox categories including Open, My inbox, Unassigned, Snoozed, and Closed keep the overall structure clear without any manual sorting.
Teamwork without information gaps
Unified Inbox is not a tool for one person only. You can assign conversations to specific team members, write internal notes the guest cannot see, and track who is responsible for each inquiry. The snooze function returns a conversation to the inbox at exactly the time you have the information ready to respond.
For shift handovers, Thread Summary is particularly useful: an AI summary of the entire conversation with a guest in two to three sentences. Instead of a new colleague going through twenty messages to understand the situation, they get the context in seconds.
